We are a U.S. based technology group that is looking for a bilingual Office Manager / Administrative Assistant. The right candidate must demonstrate leadership capabilities. You will be working directly with the CEO of the group and administering the office in Cali, Colombia.

This is a full-time on-site role for an Executive Administrative Assistant Office Manager located in Cali. The responsibilities include providing administrative assistance, executive administrative support, and clerical duties. The candidate will be responsible for managing office logistics, scheduling meetings, maintaining records, and ensuring smooth office operations.

Experience Requirements:

Administrative Assistant Support

  • Managing calendars, scheduling meetings, appointments, and travel arrangements
  • Preparing meeting agendas and distributing materials
  • Drafting and editing correspondence, emails, and reports
  • Assist with project coordination, task delegation, and deadline tracking
  • Conduct research and compile information on various topics
  • Prepare, proofread, and edit documents, reports, and presentations
  • Assisting with basic bookkeeping tasks
  • Managing office supplies and equipment.
  • Maintaining office records and files
  • Assisting with payroll and HR tasks

Office Operations

  • Ensuring a clean, organized, and functional workspace
  • Overseeing vendors and contractors
  • Developing Implementing and maintaining office procedures and policies
  • Identifying areas for improvement and implementing solutions
  • Managing budgets and expenses (with accounting team)

Team Management

  • Supervising and coordinating staff training
  • Motivating and supporting team members
  • Resolving conflicts and addressing employee concerns

Social Media

  • Assist Executive with their Social Media Profiles – Knowledge of Linked In and other business oriented Social Media Platforms is a BIG plus.

Requirements:

  • English B2+
  • Experience in recruiting and ATS is a GIANT PLUS
  • Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Canva, CRM software and other relevant software
  • Technology: Ability to use tools like AI to produce better work results
  • Attention to detail with strong organizational skills,
  • Proficient in written and oral communication,
  • At least 2 years of experience as an executive assistant to senior management,
  • Confidentiality in handling information and decision-making,
  • Excellent presentation and interpersonal communication,
  • Goal-oriented with excellent results,
  • Excellent communication, clarity, and trustworthiness,
  • Ability to ask questions, foster dialogue, and build teams,
  • Ability to work autonomously,
  • Ability to manage internal relationships with all team members,
  • Poise in interpersonal relationships and in representing senior management,
