Thrive Psychology Group is a fast-growing, innovative mental health and wellness company serving clients across the U.S. We specialize in providing high-quality therapy, assessments, and mental health programs to high-functioning professionals and families.

We are seeking a Patient Care & Operations Coordinator based in Colombia to join our dynamic team. This role involves direct client interaction, scheduling, administrative coordination, and supporting our growing mental health practice. Since this position requires strong English skills, we prefer candidates who have lived in an English-speaking country or have extensive experience engaging with American clients.

As the first point of contact for new and existing clients, you will play a crucial role in ensuring a seamless and supportive experience for those seeking therapy. The ideal candidate is organized, proactive, and technologically proficient, with a strong background in customer service, healthcare administration, or mental health intake coordination.

Key Responsibilities

  • Serve as the primary point of contact for potential and existing clients.
  • Respond to new client inquiries via phone, email, and chat.
  • Conduct intake sessions to gather demographic, insurance, and clinical history information to match clients with the most suitable therapist.
  • Schedule and coordinate client appointments while managing therapist calendars.
  • Educate clients about treatment options, insurance, and costs (training provided).
  • Maintain strong, professional relationships with referral partners, such as doctors' offices.
  • Handle emergency and high-risk calls appropriately, ensuring client safety and proper escalation.
  • Follow up with clients after their initial consultation to facilitate continued care.
  • Assist in hiring, onboarding, and training new therapy staff on company systems and policies.
  • Support HR operations and business development initiatives, such as client testimonials, referral follow-ups, and marketing outreach.
  • Maintain client confidentiality in compliance with professional standards and company policies.

Qualifications & Experience

  • 2+ years of experience in customer service, healthcare administration, or a related role.
  • Experience in intake coordination, scheduling, or registration is highly desirable.
  • Background in mental health, medical, or therapy-related settings is a plus.
  • Prior experience with phone consultations or sales is preferred.
  • Excellent spoken and written English, with professional communication skills.
  • Willingness to learn about the U.S. healthcare system and insurance processes.

Compensation & Benefits

  • Full-time position (40+ hours/week)
  • Salary: 3,500,000-4,000,000 COP per month (based on experience)
  • Paid vacation, holidays, and sick leave
  • Opportunities for career growth and advancement
  • Contract Type: Obra/Labor (employee responsible for social security and pension payments)
  • Rotating evening and weekend shifts required (at least two evenings per week, 2 PM-8 PM). We work across all timezones in the U.S. so must be available during peak U.S. hours.
